The compliance overview provides insight into users' competency status. You can quickly see which employees meet all requirements and which certificates are still missing or have expired.
Requirements
- You need reporting rights to open compliance reports.
- Required certificates must be set at function, project or personal level.
View competency per user
- Open the user profile via Actions > Actions > Search for user.
- Go to the Competency tab.
- You see an overview divided into subtabs:
- Function — Required certificates based on the function and function group.
- Personally required — Individually configured requirements.
- Project — Requirements based on project membership.
The status for each certificate is shown as obtained, expired or missing.
Report: Required certificates
For an overview of multiple users:
- Go to Reports > Certificates > Required certificates.
- Filter by department, function or certificate.
- The overview shows which certificates each user needs and whether they have obtained them.
You can sort the results by certificate category, certificate code, required type (function, project or personal), optional and status. Use the Required type filter to limit the overview, for example to function or project requirements only.
The report includes an Enrol column for each certificate. Use this column to enrol a user directly in the associated refresher training when a certificate is missing or expired.
Report: Department dashboard
The department dashboard gives you a visual overview of competency, enrolments and attendance. You build the dashboard from separate blocks. You need the Report_Dashboard right.
- Go to Reports > Reports > Department dashboard.
- Click Add new block and choose a report type:
- Competency per department — Pie chart showing the percentage of competent employees within a department.
- Enrolments per department — Bar chart showing the number of enrolments per status.
- Attendance per department — Pie chart showing the attendance percentage within a department.
- Competency per project — Pie chart showing the competency percentage within a project or team.
- Configure the block:
- Name — Give the block a recognisable name. This field is required.
- Department — Select the department for report types per department.
- Project — Select the project for the report type per project.
- Width — Choose small, medium or large. The width ranges from 1 to 12 columns.
- Height — Choose 1, 2 or 3.
- Under Options, you can enable or disable Show chart, Show legend and Show export.
- Click Save to add the block.
- Click Show report in the bottom right to open the complete detailed report in a new window.
Report: Missing certificates
To see specifically which certificates are missing:
- Go to Reports > Certificates > Missing certificates.
- Filter by department, function or certificate.
- The overview shows only users who do not meet all requirements.
Report: Expired certificates
For an overview of certificates that have expired or will expire soon:
- Go to Reports > Certificates > Expired certificates.
- Filter by period, department or certificate.
Export
You can export all compliance reports:
- Click Export to download the result as an Excel or CSV file.
Frequently asked questions
How do I know whether an employee is fully compliant?
An employee is compliant when all required certificates (function, project and personal) are valid. The Competency tab shows this for each category.
Are exemptions included in the compliance overview?
Yes, active exemptions are treated as valid certificates. The user is marked as compliant for the relevant certificate while the exemption is valid.
Can I send a notification for missing certificates?
Yes, you can configure automatic reminders for users with missing or soon-to-expire certificates through the notification settings.
How does the department dashboard differ from the certificate reports?
The department dashboard provides a visual overview at department level. The certificate reports provide detailed lists with filtering and export options.
