The user search screen provides extensive filtering options to help you quickly find the right user. This article explains how to use the search screen and which actions you can perform from the search results.
Requirements
- You need one of the following rights: Edit portal, Edit portal (planner), Merge users, Delete users or Find users.
Open the search screen
Go to Actions > Actions > Find user to open the search screen.
Search filters
The search screen provides the following filters:
| Filter | Description |
|---|---|
| Name | Search by first or last name. |
| Login name | Search by the user's login name. |
| Email address | Search by email address. |
| User code | Search by the unique user code. |
| Department | Filter by a specific department. |
| Function | Filter by a specific function. |
| Status | Filter by active, inactive or all users. |
Click Search to load the results.
Search results
The search results are displayed in a table. The following columns are shown for each user, depending on the portal configuration:
- Name — The user's full name.
- User code — The user's unique code.
- Department — The department to which the user belongs.
- Active — The user's status (active or inactive).
Actions from the search results
You can perform the following actions from the search results:

| Edit | Open the user profile to change data. |
| Set active/inactive | Change the user's status. |
| Delete | Delete the user (only for inactive users). |
| Merge | Merge two duplicate user profiles (see Merge users). |
| Reports | Open the report for the selected user. |
| Reset content | Select the content for which you want to reset progress. |
| Log in as | Log in as the selected user (if you have the right). |
Bulk actions
You can select multiple users using the checkboxes and then perform a bulk action:
- Move — Move the selected users to another department.
- Set inactive — Set the selected users to inactive (only available when filtering active users).
- Set active — Set the selected users to active (only available when filtering inactive users).
- Delete — Delete the selected users (only available when filtering inactive users).
Frequently asked questions
Can I search for users from other portals?
This is only possible if your portal is configured as a main portal and you have the required rights. Contact your administrator if you need this functionality.
Why do I not see all users in the search results?
The search results are limited based on your rights and data access. If you have the Planner role, you may only see users from the departments for which you are responsible.
Can I export the search results?
The search screen does not provide a direct export function. Use the reporting module to export user data.
