The user profile contains all personal data and settings for a user. You can also link multiple employments to a user, each with its own department, function and cost centre.
Requirements
- You need the Edit portal or Edit portal (planner) right.
- To manage employments, you need the Employments right.
View a user profile
- Go to Actions > Actions > Find user.
- Find the user and click the edit icon.
- The profile opens on the Data tab.
Profile data
The Data tab contains the following information:

| Infix | The infix in the last name. |
| Last name | The user's last name. |
| Login name | The unique login name. |
| Email address | The user's email address. |
| Department | The department to which the user belongs (primary employment). |
| Function | The user's function (primary employment). |
| Language | The preferred language. |
| Manager | The user's direct manager. |
| Active | The user's status. |
Manage employments
A user can have multiple employments, for example in multiple departments or functions.
View employments
- Open the user profile.
- Go to the Employments tab.
- Here you see an overview of all active and previous employments.
Add an employment
- Go to the Employments tab.
- Click Add.
- Enter the following data:

| Function | The function for this employment. |
| Cost centre | The cost centre, if applicable. |
| Primary | Indicates whether this is the primary employment. |
- Click Save.
Edit or delete an employment
- Click an employment to edit it.
- Click Delete to delete an employment.
Note: Each user must have at least one primary employment. The primary employment determines the department and function shown by default in overviews and reports.
Frequently asked questions
What is the difference between primary and secondary employment?
The primary employment determines the default department and function shown in overviews. Secondary employments are used when an employee has multiple roles or department assignments. Required certificates are determined based on all active employments.
Can a user belong to multiple departments?
Yes, you can link a user to different departments through multiple employments. One employment is set as primary.
What happens if I change the primary employment?
The user's default department and function are updated in overviews and reports. The required certificates are recalculated based on the new functions.
