After a session has concluded, you can update the status and results of participants. This records whether a participant has passed, failed, or not completed the training. This article explains how to do this.
Requirements
- You need permissions to edit training registrations.
- The session must have the status Final or Completed.
Trainingsregistration
- Go to Planning > Planning > Training Calendar.
Find the correct training and session, then select Training Registration by clicking the left icon next to that session.
You can also access the training registration directly via Schedule → Schedule → Training Registration or through the Training Planner.
- You will then see an overview of all participants in that session, including any multiple time slots. You can also print an attendance list per time slot here.
Change the Status to the desired result:
Status Description Passed The participant has successfully completed the training. Failed The participant did not successfully complete the training. Not finished The participant did not fully attend the training. Deregistered The participant's registration has been cancelled. - Optionally add a comment or score.
- Click Save.
Note: When the status is Passed, a certificate is automatically generated if this is configured in the training planner for that training.
Bulk Updating Results
You can also update results for multiple participants at once:
- Select the top option with a dropdown in the column for the time slots or Result.
Change the status for everyone at once here.
- Click Save.
Frequently Asked Questions
Is the certificate automatically generated when the status is Passed?
Yes, if a certificate is linked in the training planner, it is automatically assigned to the participant when the status is Passed.
Can I change a result afterwards?
Yes, you can change a participant’s status at any time, even after the session has been completed. However, this can no longer be done via the session itself; the status must then be adjusted individually per employee, which can involve a lot of manual work for a large group.
You do this via Actions → Actions → Search User. Open the relevant user here and then go to the Trainings tab. Find the training for which you want to change the status. This is usually listed at the bottom under completed trainings. Then click the magnifying glass icon next to the training and go to the Result tab.
Here you see the result that was previously assigned. Change this back to Reset status to registered. Once the employee has this status, you can assign the correct result in the same place. When you then select the status Passed, the corresponding certificate will be issued to the employee.
NOTE: If you change the status from Passed to Reset status to registered, the previously issued certificate for that training will be removed from the user.
Do participants receive a notification about their result?
Yes, depending on the notification settings, participants receive an email with their result (passed, failed, or not completed).
