You can add a detailed description and an overview of required and recommended certificates to each function in PlusPort Academy. This gives employees and managers insight into the requirements linked to a function.
Requirements
- You need the User functions right to manage function descriptions and certificates.
Edit the function description
- Go to Management > Job framework > Functions.
- Select the function and click Edit.
- On the Details tab, you can enter the following information:

| Code | The unique function code. |
| Function group | The group to which the function belongs. |
| Description | A detailed description of the function. You can use the rich-text editor for formatting. |
| Custom fields | Any additional fields configured in the portal. |
- Click Save to save the changes.
Configure required certificates
On the Required tab, you manage the certificates that are mandatory for the function:
- Open the function and go to the Required tab.
- Click Add to add a certificate.
- Select the desired certificate from the list.
- Click Save.
Employees with this function see which certificates they still need to obtain in their profile.
Configure recommended certificates
On the Recommended tab, you can add certificates that are not mandatory but are recommended:
- Open the function and go to the Recommended tab.
- Click Add.
- Select the desired certificate.
- Click Save.
Export the function description as a PDF
To export an overview of the function and its associated certificates:
- Open the function overview via Management > Job framework > Functions.
- Click the PDF icon next to the desired function.
- A PDF containing the function details, required certificates, and recommended certificates is generated.
Note: Changes to required certificates have an immediate effect on competency reports.

How do employees know which certificates they need to obtain?
Employees see an overview of the required certificates based on their function in their profile. Missing or expired certificates are clearly marked.
Can I link the same certificates to multiple functions?
Yes, you can link a certificate to multiple functions. If an employee has multiple functions, all required certificates are combined.
Are changes to required certificates immediately visible to employees?
Yes, as soon as you add or remove a certificate for a function, this is immediately reflected in the profile of all employees with that function and in the compliance reports.
