In PlusPort Academy, you can record your organisational structure by creating departments and sub-departments. Departments are used to group users and form the basis for reports, budgets, and rights structures.
Requirements
- You need the Manage departments right to manage departments and sub-departments.
Open the department overview
Go to Management > Management > My portal > Departments to open the department overview. Here you see a tree structure with all departments and sub-departments.
Add a department
- Click Add in the department overview.
- Fill in the following fields:

| Name | The name of the department (required). |
| Code | A unique code for the department. |
| Parent department | Select the parent department if you want to create a sub-department. Leave this empty for a main department. |
| Description | An optional description of the department. |
- Click Save to create the department.
Create a sub-department
A sub-department is a department that falls under an existing department. To create a sub-department:
- Select the parent department in the overview.
- Click Add.
- The parent department is filled in automatically.
- Enter the remaining details and click Save.
Edit a department
- Select the department you want to edit in the overview.
- Adjust the required details.
- Click Save to save the changes.
Delete or deactivate a department
- Deactivate: Set the department's status to inactive. The department remains stored but is no longer visible to users.
- Delete: Click Delete to permanently delete the department.
Note: You can only delete a department when no users are linked to it. First move all users to another department before deleting the department.
Frequently asked questions
How many levels of sub-departments can I create?
There is no fixed maximum number of levels. You can create multiple layers of sub-departments to record your organisational structure in as much detail as needed.
What happens when I deactivate a department?
The department is no longer visible in selection lists and cannot be selected when creating or editing users. Existing links remain stored.
Can I move a department to another parent department?
Yes, you can change the parent department by editing the department and selecting another parent department.
