The exemption report provides insight into all active and expired exemptions in the portal. This helps you monitor compliance status and identify exemptions that will expire soon.
Requirements
- You need the report_exemptions right to open the exemption report.
Open the report
Go to Reports > Certificates > Exemptions to open the report.
Filters
You can filter the report by:

| Department | Filter by a specific department. Type at least two characters to search. Sub-departments are included automatically. |
| Category | Filter by a certificate category. Note: selecting a category resets the certificate filter. |
| Certificate | Filter by a specific certificate. Type at least two characters to search. The list is limited based on the selected category. |
| Expires after | Show only exemptions that expire after the specified date. |
| Expires before | Show only exemptions that expire before the specified date. |
| Obtained after | Show only exemptions obtained after the specified date. |
| Obtained before | Show only exemptions obtained before the specified date. |
| Include outdated certificates | Enable this option to include outdated certificates in the results. Outdated certificates are not shown by default. |
Click Show results to view the results.
Results
The report overview shows the following columns for each exemption (select the columns you want to show in the filter next to the results):

| User code | The user's code. This column is hidden by default. |
| Category | The certificate category to which the certificate belongs. |

| Obtained | The date on which the exemption was granted. |
| Valid until | The end date of the exemption. |
| Outdated | Indicates whether the certificate is outdated. This column is available only when Include outdated certificates is enabled. Make the column visible through the column settings. |
| Status | The status of the exemption. |
| Remark | The remark entered for the exemption, such as its reason. |
Export the report
Click Export to download the report as an Excel or CSV file.
Note: Expired exemptions are not deleted automatically. Check the report regularly to decide whether expired exemptions should be extended or the user should obtain the certificate after all.
Frequently asked questions
How do I identify exemptions that will expire soon?
Use the Expires after and Expires before filters to set a date range. For example, enter today's date under Expires after and a date 90 days from now under Expires before to show exemptions that expire within the next 90 days.
Are expired exemptions deleted automatically?
No, expired exemptions remain stored in the system but no longer count as valid certificates. The user is marked as non-compliant for the relevant certificate.
Can I share the report with managers?
Yes, you can export the report as a file and share it with the relevant managers. Managers with reporting rights can also open the report themselves.
What are outdated certificates?
Outdated certificates are certificates that are no longer current, for example because the certificate definition has changed. They are not shown in the report by default. Enable Include outdated certificates to view them.
Why can I not see certain columns?
Some columns, such as Department code, User code and Code, are hidden by default. You can make them visible through the column settings of the overview.
