Waiting Room

When a session is full, registrations can automatically be placed on the waiting room. In this article, you will learn how to manage the waiting room and move participants to a session.

Requirements

  • The waiting room functionality must be enabled for the training.
  • You need the right Report_Trainings_WaitingRoom or similar.

Viewing the Waiting Room

  1. Go to Reports > Trainings > Waiting Room.
  2. Filter by training, category, or period.
  3. You will see an overview of all registrations that are in the waiting room.

Moving Participants

  1. Select the participant(s) in the waiting room via the training planner.
  2. Click on the participant icon for the desired session and then click Add Participants at the bottom.
  3. Choose the waiting room option under extra filter.
  4. Select the desired employee and press next.
  5. Click Confirm.

The participant will automatically receive a confirmation email (if notifications are enabled).

Notification for New Session

When an additional session is scheduled for a training for which a participant is on the waiting list, this participant can be automatically notified via the notification New session scheduled to participants.

Note: This notification must be active in the notification settings. Go to Admin > Admin > Notifications to enable the notification.

Importing Waiting Room

You can also import waiting room registrations via the import module:

  1. Go to Planning > Planning > Import waiting rooms.
  2. Download the template and fill in the data.
  3. Upload the file and click Save.

Note: You need the right schedule_schedule_ImportWaitingRoom for this function.

No, participants on the waiting room must be manually moved to an available session.

Can I change the order in the waiting room?

The waiting room works by default in order of registration (first registered, first placed).

Do participants receive a notification when they are on the waiting room?

Yes, participants receive a notification that their registration has been placed on the waiting room (if notification Registration waiting list to participant is enabled).
