Notification settings determine which automatic messages are sent. This article explains how to view and filter the notification list and activate or deactivate notifications.
Requirements
- You need administrator rights to change notification settings.
Open notification settings
- Go to Administration > Administration > Notifications.
- View the overview of available notifications.
The overview shows the name, category and active status for each notification.
Filter the notification list
You find filter options above the list:

| Category | Filter by notification category (for example Registration, Session, Certificates). |
| Show all | Enable this option to also show inactive notifications. By default, only active notifications are shown. |
Configure a notification

Click the notification you want to configure.

Adjust the settings:
Setting Description Active Enable or disable the notification. Subject The subject line of the email. Message The body text of the email. You can insert parameters for dynamic content using the Parameters menu in the editor. See Customize email texts for more information. BCC Optional email address that receives a copy of every notification sent. -
Click Save.
Note: The recipient and trigger of a notification are fixed and cannot be configured. Each notification is linked to a specific event and recipient, such as a participant, manager or HRM employee.
Email settings
Use the Email settings button on the overview page to manage portal-wide email settings:

| Reply address | The email address to which replies are sent. |
| BCC | Portal-wide BCC address for all notifications. |
| Master template | The HTML template used as the basis for all notifications. It contains structural fields for the header, content, footer and signature. |
| Header | The heading shown above every notification. |
| Footer | The footer text shown below every notification. |
| Signature | The signature placed below the content. |
SMTP settings
If your portal uses its own mail server, you can configure SMTP settings using the SMTP server button. You can test the connection using the Test button on the SMTP settings screen.
Frequently asked questions
Can I change the recipient of a notification?
No, the recipient is fixed for each notification. The notification name indicates who receives it, such as "to participant", "to manager" or "to HRM employee".
Are notifications sent when the user is disabled?
No, notifications are sent only to active users.
Can I set the sending time for notifications?
Timing depends on the type of notification. For certain reminders, you can set the number of days in advance. Daily, weekly and monthly notifications are processed overnight. See Notification triggers and conditions for a complete overview of sending times.
What if my portal is synchronised with a main portal?
When notification settings are synchronised, the fields in the edit screen are read-only. A message appears at the top of the screen. Changes must be made in the main portal.
What happens to notifications when the date of a session changes?
When the date of an existing session changes, the notification dates are automatically reset. Reminders and other scheduled notifications are rescheduled based on the new date. This ensures that participants, managers and HRM employees receive the correct reminder. This does not apply to newly created sessions; their notification dates are set normally.
