If you want to record exemptions for a large number of users at once, you can use the import function. This article explains how to import exemptions in bulk via a file.
Requirements
- You need administrative rights to import exemptions.
Rights:
Admin_imports_exemptions > access to the specific import.
Admin_exemptions_add > the right to create exemptions.
Admin_imports_importmodule > access to the import module. - The import file must comply with the required format.
Preparing the Import File
Always first download the official template via the import page (Admin → Manage → Imports and then under the Users section at Proof of exemption).
The template contains the following columns:

| User code | The linking code of the user to whom the exemption applies (mandatory). |
| Certificate Definition code | The code of the proof definition for which the exemption is created (mandatory). |
| Date Obtained | The date on which the exemption starts (optional). |
| Date Expires | The expiry date of the exemption (optional). |
| Remark | A note, for example the reason for the exemption (optional). |
Note: It is essential that the cell properties within the template are not altered. Check that the user codes and proof codes exactly match the codes in the system.
Importing Exemptions
- Go back to Admin > Admin> Imports > Users > Certificates Exemptions.
- Click Import and than browse to select the completed import file.
- Click Save to process the exemptions.
- After the import, you can find the progress at the top of the window.
Checking Import Results
After the import, you can check the results:
- Successful — The number of exemptions that have been created.
- Skipped — The number of rows skipped due to errors (e.g. unknown user code or proof code).
- Errors — Any error messages with an explanation.

In which file format should the import file be?
The import file must be an Excel file with the required columns. Check the exact requirements in the import screen.
Are existing exemptions overwritten during a new import?
No, the import only creates new exemptions. Existing exemptions for the same user and the same proof are not overwritten.
Can I undo the import?
No, an executed import cannot be undone in one go. You can delete exemptions individually via the user profile.
