User synchronisation automatically updates user data from the HR system. This article explains how synchronisation works and how to monitor it.
Requirements
- An active HR connection must be configured. This can be a PlusPort connection (provided by PlusPort) or a connection built outside PlusPort based on PlusPort APIs.
- Synchronisation must be enabled and active.
How does synchronisation work?
Synchronisation works as follows:
- The HR system periodically provides a file or API response containing user data.
- The portal compares the supplied data with existing users based on a unique linking code (the linking code field in PlusPort).
- Changes are applied automatically:
- New users are created.
- Changed data (name, department and function) is updated.
- Departing employees are deactivated.
Frequently asked questions
How often does synchronisation take place?
The frequency depends on the configuration (daily, weekly, etc.). This is agreed when the connection is set up. For connections built by PlusPort, synchronisation takes place nightly.
What happens if a linking code is missing?
Users without a valid linking code are skipped. The error is logged so that you can correct it in the HR system. For connections implemented by PlusPort, you receive a daily error report at the email address set during implementation. If this email address is no longer correct or needs to be updated, send a message to customersuccess@plusport.com.
Can I undo the synchronisation?
No, changes made by synchronisation are not automatically reversed. PlusPort treats the data supplied as the source of truth. If the data is incorrect while a connection is active, it must be checked in the HR system.
