To import users, follow these steps:
Go to Management > Management > Imports
Click on 'Users'
Download the example file by clicking the 'Download Template' button.
Open the Excel file 'users_template.xlsx' and fill in at least the fields that are coloured pink.
Field explanation:
- 'Send invitation E-mail': Enter TRUE or FALSE in this field, depending on whether you want to send an invitation email to the user or not.
- 'Send invitation E-mail (always)': Enter TRUE in this field in, for example, the following situation:
The users you want to import already exist in the portal, but are currently set to inactive. You import the users again to set them to active and send an invitation email. In this case, setting the 'Send invitation E-mail' column to TRUE does not work. In this case, you use the 'Send invitation E-mail (always)' column, so that existing users also receive an invitation email.
Save the file and click 'Import'
Click the 'Browse' button and then 'Save'.
An error log is generated when data is missing or incorrect. Click on the three dots, and then on 'Failed' to download and view the log. The last column of the file shows the reason why the import failed.
Please note that for some non-mandatory fields, no error messages are generated. One of these fields is the 'Manager' field. If the manager cannot be found, this field is left empty.
Some common error messages:
| Error message | Explanation |
|---|---|
| Error 405: DepartmentList is not set, this parameter is required if UserData.DepartmentCode is empty | The department code has not been filled in |
| Error 420: No department found for supplied code | The department code does not exist |
| Error 418: There's another user in this portal with a different code but the same login | A user with the same login name already exists |
