Automatically registering users for digital trainings
With the automation module, users can be automatically registered for digital trainings. This module is ideal for automating, for example, onboarding trainings.
Setting up the automation module
Step 1: Activate the management right
- Go to the administrator authorisation group(s) and activate the new right 'Beheer_automatisering'.
- Log out and log back in to apply the changes.
Step 2: Automation settings
- Navigate to Management > General management > Automation.
- Click 'Add trigger' in the top right corner. A trigger is an automatic action that takes place when certain conditions are met.
Step 3: Configure the trigger
- Name and Description: Give the trigger a name and optionally a description.
- Active status: Choose whether the trigger should be active immediately. After activation, users who meet the conditions will be automatically registered for the selected trainings the following night.
- Set conditions: Determine whether the trigger should apply to all new users or only to specific departments and functions. Conditions are displayed as cards showing the number of selected items. Click a card to open a window where you can search and select departments or functions. Use Select all to check all currently visible (filtered) items at once; existing selections are preserved. Leave a condition empty to apply the trigger to all employees. Multiple departments and functions can be added to a single trigger.
- Define actions: Add an action to specify which digital trainings the users should be registered for. Multiple trainings can be linked to a single trigger. Here you can also set whether a registration notification should be sent.
Managing triggers
- After saving the trigger, you will see an overview of all created triggers.
- Triggers can be (de)activated directly from this overview page via the toggle, without having to edit them first.
Important information
- Automatic registration: Once a trigger is activated, users who meet the conditions will be automatically registered for the selected trainings the following night.
- Future expansions: Soon it will be possible to also include digital trainings from Friends in a trigger. Additionally, multiple trigger types will be added. Keep an eye on our roadmap and release notes.
