For easily creating and exporting invoices, you can link debtors to users, departments, debtor groups and portals.
Debtor creation
To add a debtor, follow these steps:
- Go to Planning & registration > Trainings > Debtors
- Create a debtor by clicking Add debtor
- Enter at least a Name and Number
If applicable, a discount percentage can also be entered when creating a debtor. The given discount will be visible on the exported invoice lines.
Debtor group creation
Using debtor groups it is possible to group debtors and thus
create a specific invoice export.
To add a debtor group, follow these steps:
- Go to Planning & registration > Trainings > Debtor groups
- Create a group by clicking Add debtor group
- Enter a name and code
- Click Save
In the Debtors tab you can easily add the relevant debtors to the group. This can also be done by looking up the debtor and linking it to the group.
Linking a debtor to a department
A debtor can also be linked to a department.
Follow the steps below to link a debtor to a specific department:
- Go to Management > Management > My portal
- Click Add department if the department does not yet exist. If you want to link the debtor to an existing department, click the pencil icon next to the existing department to edit it.
- Go to the Details tab.
- Select the desired debtor under Debtor.
- Click Save
Invoice line creation and export
You can create invoice lines for a debtor so that an invoice can easily be generated.
Follow the steps below to create an invoice line for a debtor:
- Go to Management > Costs > Export invoice lines
- Click the Add export invoice lines button
- Enter a name
- Optionally select a training
- Select the Debtor group
- Optionally select a Status
- Select a start and end date
In the created invoice lines, the costs incurred will be visible per debtor group between the chosen start and end date, for the optionally selected training. These invoice lines can be exported to Excel by clicking the Export button.
