Via the import module it is possible to assign exemptions to users in bulk. You can find this import via Management > Management > Imports. Under 'Users' you will find the import 'Certificate Exemptions'.
To make sure you are using the correct template, always click 'Download template'. An Excel file will be downloaded containing several columns. These columns are explained below:
- Certificate Definition code: this is a mandatory field and refers to the code of the certificate definition of the certificate you want to assign as an exemption. For example:
- User code: this is also a mandatory field. Here you enter the linking code of the user.
- Date Obtained: the date on which the exemption should take effect
- Date Expires: the date on which the exemption should expire
- Remark: here you can enter an optional comment, for example the reason for the exemption
It is essential that the cell properties within the template are not changed!
Once all data has been entered, save the template. You can then upload this file by clicking 'Browse' in the screen below. Search for the file you saved earlier, select it, choose 'Open' and then 'Save'.
After uploading, you can find the progress of the upload at the top of the window.
Once the upload is complete, you will find the upload under 'Processed imports'. Behind each row there are three dots, and when clicked, three options appear:
- Completed - Results in a log showing the rows that were successfully imported
- Failed - Results in a log showing the rows that could not be imported. The reason is shown behind each row.
- Delete - This removes the entire row under 'Processed Imports'.
The reasons given in the error log are self-explanatory and clearly indicate what went wrong. Below is an error message that needs some additional explanation:
| Error message | Explanation |
|---|---|
| DefinitionCode or UserCode not found or unauthorized | The field has been filled in incorrectly. This may be because a value does not yet exist in the system, an incorrect value has been entered, or an incorrect format is being used. |
