To import Obtained Certificates with attachment, follow these steps:
Go to Management > Management > Imports
Click on Obtained Certificates (with attachment)
Download the example file by clicking the 'Download Template' button.
Open the Excel file 'certificatesWithFiles_template.xlsx' and fill in at least the fields that are coloured pink.
To import certificates with attachment, a ZIP file must be created containing the template file and the attachments.
Field explanation:
User Code: Linking code of the user, found in their profile
Number: The number of the obtained certificate
Date obtained: The date on which the certificate was obtained. If the cells in this column are left empty, today's date will be used as the date obtained.
Note: make sure that the cell properties of the 'Date obtained' column are not changed. If they are, any value may not be recognised and today's date will be used as the date obtained.
Date Expires: The date on which the certificate expires (format: dd-mm-yyyy). Note: Only needs to be filled in if there is a deviating expiry date.
File Name: The name of the file in the ZIP that should be added to the certificate. (Note: Make sure the extension is included after the name in this column. For example: 'Name.pdf')
Save the file and click 'Import'
Click the 'Browse' button and then 'Save'.
An error log is generated when data is missing or incorrect. Click on the three dots and then on 'Failed' to download and view the log. The last column of the file shows the reason why the import failed.
