Purchasing trainings via Friends
Trainer overview
On the page Management - Trainer overview you can see all trainers within PlusPort that want to be visible on this page. All these portals offer trainings to follow via the Friend relationship. Click on the tile of the trainer for more information and the training offer:
Do you want to start a Friend relationship with the portal? Then click the button at the bottom of the page called 'Start Friend relationship':
A popup screen with the agreement opens in your screen:
Agree with the terms and conditions and click save. The Friend relationship is now established.
Setting up a Friend relationship by the purchaser
Making profile fields available
Go to Management – General Management – Manage Friend portals
Under Training provider you will find the Portals of Suppliers that make trainings available.
Match
The match column indicates whether you also share the required fields of this provider.
The statuses are:

Click Profile fields for the portal of the provider.
You then enter the screen with the mandatory standard fields that the provider has set as required.
By default, the following fields are shared with the provider:
- First name
- Prefix
- Last name
- E-mail address
- Department
The remaining fields can be set as mandatory by the provider. As a purchaser, you have the option to share this field. The field will, upon registration, automatically be filled and sent.
If the field is NOT shared, the field will need to be entered manually upon registration.
Users active
Behind each provider portal is also the option Users active.
If you activate this option, the training provider can look up and schedule users from your portal.
Warning:
The provider can therefore look up and schedule anyone from the portal. If this is not desired, there is also the option to register users on the waiting room. A provider then only has access to those users!
Available trainings
Click on Trainings at the Providers Portal.
The page consists of 2 sections:
Available trainings (Add button)
Here you will find all trainings that the provider makes available by default. By selecting them from left to right and clicking the Save button, the training is available in your own learning environment.
Purchased trainings
Here you will find all trainings that you have purchased in consultation with the provider.
Here you have the option to set the trainings to open and visible in bulk.
Select the trainings, select the statuses and click Apply.
Via the details option you go to the specific settings of the training. (see training planner)
Setting up a Friend training
At the filter Training from portal choose a portal with which you are Friends.
The filters are adjusted.
Using these filters it is possible to filter the offer of the friend supplier.
For each training only one option is available.
Click the Edit button.
Details tab
On the Details tab you have the option to link the supplier's training to your own settings.
At Training type choose Open or Closed
At Available choose In search results, Not in search results or Closed
At Certificate choose a certificate from your own portal
At Category choose a Category from your own portal.
At Secondary category choose a Secondary category from your own portal.
Authorise
Choose here whether the user's registration needs to be approved by the manager and/or HRM.
Select custom registration fields
Here a custom field requested by the supplier is displayed.
Waiting room tab
Add users to the supplier's waiting room here.
Click the Add button
Search by Name and/or Department and click the Search button.
Move users from left to right.
Available tab
Here you indicate for which departments or functions the training is available within the Catalogue.
Cost settings tab
If you work with direct processing of training costs, enter the correct settings.
Additional settings tab
On the Additional settings tab it is possible to add your own text to the training definitions.
This text appears within the catalogue under the heading Remarks.
You also have the option to link your own custom fields to the supplier's training.
Click the Custom Fields button. Add the desired field and click Save
Then choose the desired option(s).
Forms tab
Add a Training or Evaluation form here.
Click the Add button.
Choose the correct form.
Choose one of the options for rolling out the form.
Click Save
Offering trainings via Friends
Trainer settings
On the Trainer settings page you indicate whether you want to be part of the PlusPort Marketplace. In addition to indicating that you are a trainer (Is trainer) you also actively indicate here whether you want to be visible to PlusPort customers.
Becoming a trainer
Make your portal a trainer by ticking one of the two settings:
- is trainer = you are a trainer and can establish Friend relationships as a trainer
- I am a trainer and want to be visible to all PlusPort customers = you are a trainer and visible at Management - Trainer overview for other PlusPort customers.
There are two additional settings:
- Show invoice status
When ticked → shows whether the registration has been invoiced.
Info:
Note: Once invoiced, the price can no longer be changed, the registration can no longer be deleted and the debtor can no longer be changed.
- Show payment status
When ticked → shows whether the product has been paid.
Warning:
Note! Both options only work if you work with the PlusPort registration module (Dashboard)!!
Information visible on trainer overview
Short description
Write a short description about your training offer. This description is visible at Management - Trainer overview under the name of the portal:
Description
This description is visible when customers click on your portal's tile on the Management - Trainer overview page. Use this to provide more information about your training offer and to encourage potential "friends" to establish a relationship.
Add image
This image is visible on the tile at Management - Trainer overview. Upload your company logo here, for example.
The image format is 715px by 390px.
Linked trainings
You can make (part of) your offer visible to potential and existing relationships. Existing relationships have the option to add the training to their catalogue. Potential relationships have the option to view the training information.
You set this by clicking the '+Add training' button:
Then move the trainings you want to show to the right and click save.
Setting up a Friend relationship by the supplier
Go to Management – General Management – Manage Friend portals
Under Training purchasers you will find the PlusPort Portals that are purchasers.
An important field is the Select mandatory profile fields button.

This button is visible via the right Beheer_persoonsgegevens
This button opens a window with all fields of a user. Here you indicate which fields you would like to receive from the purchaser. These are the fields you need to organise the training. These fields appear as a Mandatory field for the purchaser.
By default, the following fields are sent:
- Department
- E-mail address
- First name
- Last name
- Prefix
If you need additional fields, you indicate them here.
For example, select the Date of birth field.
Indicate whether you need this field for all trainings or for specific trainings.
Editing a provider
Click the edit button for the portal.
A popup opens with 2 tabs.
Debtor
Enter the correct debtor here. By linking a debtor it is possible to show customised prices to the purchaser.
Training
Here you will find all available trainings from your portal.
On the right side are all available trainings. By moving trainings from left to right, you make trainings available to the purchaser.
Tip:
The purchaser will always still have to perform a number of settings in their own portal. Trainings are NOT automatically shown in the catalogue!
Availability can also be set per training. You manage this in the Training planner!
Settings per training
Available
On the Available tab you place an additional filter on the availability within the catalogue. Here you indicate per function or department for whom the training is visible.
You also set here for which Friend portals the training is available.
Setting visibility for Departments
On the Available tab you will find under Departments all available departments from your portal.
If you do not select anything, and the training is set to Visible, the training is available for everyone in the Catalogue.
If you select departments, the training is only Visible for users from the (underlying) departments.
Note:
By making a training available for a specific department (e.g. Management), it can be tested well without other users seeing the training!
The option to make a training available for one or more departments can also be managed the other way round. When you look up and edit the department, you can indicate via the Available Trainings tab which trainings should specifically be available for this department.
Warning:
Note! When a training becomes available for one or more specific departments, this training automatically becomes unavailable for all other departments.
Setting visibility for Functions
On the Available tab you will find under Functions all available functions from your portal. By moving functions from left to right, the training only becomes Visible for users with the relevant selected functions.
Info:
This setting is also mirrored. If you look up the relevant function, it is also possible to set there which trainings are Visible for the function.
Warning:
Note! If you combine visibility for functions with departments, it works as an AND function. This means the training is only visible if you have the function AND are in the department.
Setting visibility for Friend portals
On the Available tab you will find under Friend Portals all Portals that purchase your trainings. By moving a portal from left to right, the training becomes Visible for the Purchaser in the Portal.
Info:
The training is NOT directly visible to users from the Friend portal. The administrator of the Friend portal must still configure this in their own portal.
Points of attention for Friend relationships
There are a number of points of attention for Friend relationships.
Notifications
Notifications are sent from the user's portal. In a Friend relationship, these notifications are therefore filled with information from the "Supplier's" portal. It is also important to check whether all notifications are turned on. This depends on the process agreed upon between the supplier and receiver.
Useful notifications to turn on when using a Friend relationship:
- Friend registration approved to administrator
- New purchaser to administrator (only available if you are listed under Trainer overview)
Certificate settings
When reporting passed from the "Supplier", the user receives the certificate from their own portal, however the number and the attachment (pdf) come from the "Supplier". The validity period can be set in the user's own portal and then overrides the value from the "Supplier".
Registration and removal
Registering a participant is primarily done via the catalogue. This applies to the participant themselves, the manager and/or the HRM.
Registering users by the administrator is done via the Training calendar.
An administrator can also unsubscribe users. This depends on rights and the unsubscription period. The supplier determines whether an administrator of a purchaser may unsubscribe users.
